One: The Goal

You have completed a body of work that
testifies to your talent and training. Your

To tell that story you will assemble a book of images that will support your narrative.
That book will contain pages or “fields” on which you will layout the sequence of your story
– your story of worth and "value"

My Great Aunt May had been courted
this was in the days of courting – by a young
man with prospects for over a year, and
everyone thought that this night would
bring a proposal.

He arrived and was shown into the parlor –
again this was in the days of parlors – and
the couple was left alone while the family
quietly gathered down the hall – ear to the
wall – to witness the moment.

Two: Select Twenty

Select up to twenty pieces that best
represent your craft and your skill to
execute that craft. Choose pieces
that represent your area of interest;
pieces that define what you can do
and challenges you want to meet. It
is important to realize that you are
not selling the images (photographers
excepted) and the images won't
sell you. It is always the "story" and
that "story" is about you and your
talent using the images to reinforce
your narration.

The work should be current and relate to the opportunity you are seeking to fill - nobody
wants to hear your history of from there to here - they are interested in today's skill
level. Lead with your best because they really aren’t interested. They have come away
from something and will return to something leaving it up to you to make the interruption
worthwhile - you get five pages to do that and up to fifteen more images to reinforce the
"story" told in the first few pages. Around twenty pages their eyes begin to glaze-over
and they want it to end. Above twenty you become dull, repetitive, or confusing; or
all of the above.

The majority of the work you select for
your presentation will have either a
landscape or portrait orientation. All of
one or the other makes your binder
choice easy. All of one or the other may
regrettably also displays a limitation to
your creative approach.

Five: Presentation Binder Size

The size of your presentation binder has
very little to do with the size of your work,
except it should be larger - much larger.
In fact there is no such thing as "too large".
There is "too small".

An 11x8.5 portrait or an 8.5x11 landscape
binder (when ordering a binder or accessory

number to be the binding edge) may be suitable
for a proposal; but, the smaller size for a presentation makes
little of you and your work and invites a "lobby interview", as you stand there while the
interviewer flips through your work leaving you wishing you had the chance to say - MORE
- to sit down and tell your "story".

"Large", on the other hand, puts "value" on you and your work. "Large" says - my work
is important - I'm important - my fee is going to be large - I am proud of my talent -
"Let's go sit down, look at my work, and discuss my creative approach and your goals."

space of a conference table to be opened. It commands respect, space, and attention.

Six: Position of the Image

The size you select for your binder
and orientation of either portrait
or landscape is not necessarily
dictated by the size or orientation
of your images. In selecting a
binder from the wide selection

"field" you will use to layout
your images.

Remembering that the first number
of a binder size is the binding
edge we are going to imagine
working with 11" x 14" landscape
images in a 14" x 11" portrait binder. The 14" x 11" "field" we have chosen
to work with opens several interesting layout possibilities. The image can be centered
top to bottom. Or, it can be placed nearer the bottom or top to leave space in the "field"
for the project description or your name and logo banner. It can also be raised to place
several, perhaps three detail images in the lower portion to be used to reinforce the
"story" image above. The point we are trying to illustrate is that the chosen "field" is
used to frame and present your work in the strongest manner. Bringing your work inside
the edges of the field leaves a border around your work and emphasizes its' "value"
and importance.

Although size of the image and size of the "field" are not necessarily the same
(a postage stamp in an 11' x 17" "field" of black is strong) it is important to that the
viewer is given a "place to look". Always give the viewer a location on the page he/she
can anticipate where the next image will be found - the image will always be centered,
or 1" up and 1" from the right, centered 2" from the bottom. A "place to look"when the
page is turned is particularly important if your work comes in several sizes.

Seven: The Right Page - Your Story

Unless you are a photographer or an artist
it is unlikely that you are"selling" the content
of the presentation binder. It is more likely
that you are presenting your talent and
demonstrating with the content of your binder
the scope of your achievements

Before beginning your presentation move to
the left of the viewer to place him/her in front
of the page on the right - in front of the "story".
The images you select and the sequence of
those elements that will comprise your presentation
depends on the "story" you are about to present.
They should go to the essence of what the interviewer
is looking for in your work.

The "story" can tell of your incredible attention to detail that contribute to the great
final product.

The "story" can be about the Ta Da results you are capable of delivering.

The "story" can be about the training and experience that you bring to an
assignment - your accomplishments.

In the end the "story" will be about all of the above - the challenge is where
to put the emphasis to sell your dream.

Eight: The Left Page

Having chosen and amazing presentation
binder (no easy task when selecting from
the wide selection of presentation binders

you now must consider the content layout.
The left page opposite the "story" page
presents a challenge with several options.
No, do not place an image on the left page.
Presenting the interviewer with two images
competing for attention leaves you with two
"stories" to tell. You have no way of knowing
which image has the interviewer's interest
and you risk speaking to a blank point
or in mid "story" realize the interest has switch
or been lost in the muddle of competing images.

Yes, an image on the left page can reinforce the "story" image on the right. The "story"
might be about a company logo supported on the left with examples of is use in a
campaign. The "story" may be about a rug - its' color, its' pattern, its' origins supported
by its' use in an amazing setting shown on the left. Or, a room setting on the right
supported on the left with a rug that pulls it all together.

Or, use the blank left page to title and describe the work being shown, the scope of
the task and the resources employed to satisfy the assignment. And, after turning
five or six pages the interviewer hopefully has a favorable impression and the left
page is an ideal place to answer the now important question of "name". The left page
is a place to brand your work with your name and logo. By the time you have turned
page six you probably have finished telling your "story" and the rest of the pages tell
portions of the whole story and will reinforce by example the strength and "value" of
your talent.

Nine: Choosing Screwpost
or Ring Binder

For proposals we sell far more screwpost

not sure that is a good thing. Offering a

Ten: Using a Ring Binder

A ring binder is designed to easily open
and close to secure punched pages that
are intended to be easily changed or
accept an addendum. The presentation of
a changeable binder should convey a sense
that while the work is solid it is open to
growth, addition, and/or revision - open to
adding or changing material with time and
further input.

There are two types of ring binders - three ring
and multi-ring. Three ring binders are generally
used to present a proposal comprised of many pages and often employ dividers to
convey the material by topic in sections. Three ring binders are available from all of

When using a ring binder to hold a small number (twenty or less) of graphic images in to

A screwpost binder is assembled using
front and back panels that are hinged to
open on a set of posts over which a
number of presentation pages have

Thirteen: Using a Box

Approach with caution

A presentation utilizing a presentation box
is often a road to disaster. Because the
material to be discussed is on separate
panels or mounting boards it is easy to
loose control of the story sequence –
loose control of the presentation.

Separate means that each piece must be
extracted from the box one by one (not
always easily done unless the boards are
made smaller than the box or the boards
are notched on the corner). After the boards are out of the box as you are moving
forward with a sequence of boards in a that supports your story when someone
picks up a board discussed earlier to make a point to a colleague or simply ask
a question before Q & A time. Or worse, take it down the hall to fill-in someone
not at the presentation - or, a dozen other reasons

You have lost control.

Is a box always a poor presentation tool? No.

There is no stronger presentation if you are strong enough to tell your audience
“hands off”.

Or - separate boards work well with the use of support tools such as a table easel
or by turning over boards and securing them in the cover.

Or - best of all, if there is only one board - one ad layout - one sample board
- one portrait. One amazing piece of creative effort.

Fourteen: Style of Binder

In choosing the cover style for your
binder or portfolio you will seek to
address several areas of concern.

The cover can establish connection
with the viewer. Your portfolio can
identify with the interests of the
viewer and support your claim to
understanding the goals of the client.
For example by selecting a leather
cover a photographer may strengthen
his/her credentials for portrait photography, where a composition hardboard cover
may indicate your understanding of the clients environmental concerns, or an acrylic
cover may be used to acknowledge a high tech firm. The cover is used to connect
with the viewer.

The presentation cover can also be used to identify you and your area of interest
and expertise. A white or black acrylic cover can be a neutral introduction to the
content of the binder allowing the work inside to reinforce the talent of the presenter.
Similarly wood can be used to make either an elegant or environmental statement.
Linen can offer a more low key approach to creativity, where metal or acrylic would
be more contemporary. The cover is used to connect with the skills and interests
of the presenter.

In the final analysis the choice of a cover will say a great deal about the presenter
(the individual or the firm) and give the viewer a strong first impression as to the

Your name and logo emblazoned on the

Sixteen: Wear & Tear

You don’t want it to happen; but
your presentation binder will with
time show wear and tear – scuffs
and scratches.
. . . . . Good!
I recall my early days of selling
and the handsome Italian leather
briefcase I carried. Customers
would look at my young shiny
face and shiny briefcase and
think this kid hasn’t even been
around the block. If I had been
older the first impression
would have been “career change – no experience.

As I left one of my early calls – I dropped my shiny briefcase on the sidewalk
– kicked it over to my car – picked it up with its’ look of experience, and went
on to some success. That is not an example to be followed; but that first scratch

For Ring Binders

Any paper suitable for printing and
punching will work well in a ring
binder; but before starting you will
want to consider:

Do I have a punch that will match
the rings?

Do I want to use a colored paper
to soften the impact of the contents
in a way that black on white can’t?

Do I want to use a punched paper
with a reinforced edge to minimize
sheets being torn out or perhaps use
“no-tear” paper?

Do I want to want to use a heavier
weight paper for photos & should that
paper match the standard paper - be
from the same mill?

Will my presentation look better with
translucent tab dividers? (see Cricket Dividers)

For Bound Page Binders

Cartridge or rod binders are often the binder of choice for their ability to custom
assemble a presentation for a small number of users who prefer a simple but
handsome presentation in a thin, easily transported binder with an insertable
cartridges of bound sheet protectors. Both rod and cartridge binders can be
used to change the content quickly and easily for different presentations with
a different focus for different clients.

For Screwpost Binders

A screwpost binding method creates a book with the limitations of a book in
that the pages will not open and lay flat. This feature of the screwpost system
necessitates the use of hinged pages which can be accomplished in several ways:

Your pages can be placed in a screwpost binder using adhesive strips
affixed to the back of the page,this leaves the paper exposed to dirt and
damage from handling requiring frequent replacement.

Hinged and punched MOAB Lasal Inkjet Paper allows an image to be
shown at its’ best without the intervention of a plastic cover.

Black Hinged Mounting Sheets are used to create a field in a larger
presentation binder on which an imaged is displayed within a black border.

Nineteen: Leave Behind

Never leave your presentation binder with
anyone. Never

We described your presentation binder
earlier as a”storybook” and anytime it is
left behind the story gets in the car and
drives away leaving the viewer uncertain
of the goals and talent of the originator.
They are not going to buy the images
without understanding the talent. Make
it clear that you are available (book &
story) at their convenience.

You should; however, be prepared to leave some sample of your work that will support
their invitation to a substantive interview. Here again you loose the opportunity for a
meaningful interview unless you insist that when you return to pick-up your leave behind
piece you get more than a ”thanks; but no thanks” from the receptionist. You want
feed-back from the principal – good or bad.

The leave behind can be as simple as a single image or several images – four to six –
in a simple cover, a booklet with bound pages (ITOYA has several styles and sizes to
accommodate most needs) that are unpretentious, inexpensive, and professional.
Perhaps they have too many pages. You will not want to beg the question with empty
sleeves making the use of an Xacto knife to cut out unnecessary pages advisable.
